QB Items & DS Categories

Understanding QuickBooks Items and DesignSmart Categories

In DesignSmart, users can set up “categories” that make sense to them.  

Examples might include:  

Case goods

Carpets

Lighting

Seating & Upholstery

Fabrics

Plumbing

QuickBooks items will be linked to DesignSmart categories and these items will be used when invoices and purchase orders are created.

Some firms will have only one or two QuickBooks items such as “Purchases” or “Merchandise” and will link these to all of the categories in DesignSmart. Other firms will have more specific items such as “Flooring”, “Case goods”, and “Lighting”, and will link these to the corresponding category in DesignSmart.  


tip_icon You can determine the appropriate level of specificity for your QuickBooks items.  


 

1.  Non Inventory Products

 Configuring the Connector For all items that you order for a specific job, you will want to create an “Non-inventory Part”.

Notes:

1.  You need to check the box “This item is used in assemblies or is purchased for a specific customer job”.  

2.  You can leave the Descriptions blank.

3.  You can leave the Cost and Sale Price set to 0. DesignSmart will send in these amounts when the invoice or purchase order is send to QuickBooks.

4. It is important to set the correct Expense and Income Accounts.

 

2.  Service Items

You will set up Service items for all the services your firm charges for.

Notes:

1.  Leave the “Description” and “Rate” fields blank. DesignSmart will send this information to the invoice when it is created.

2. It is important to set the correct Income Account.
